Document Control on Microsoft 365 and Power Platform

 Although being a powerful cloud platform for document and record management, it takes an in-depth knowledge of Microsoft 365 | SharePoint | Power Platform as well as a broad understanding of the business, to get the ultimate value out of it.

 energySEA and hIT 365 Solutions work closely together, in a lean and iterative process, to achieve a scalable and easy-to-use Document Control Solution.

Incoming Documents. The hIT 365 document control solution provides energySEA with an easy-to-use process to check incoming documents against an automated document register. Documents may be numbered following the business naming convention using the numbering feature, before being imported into the relevant business function SharePoint libraries.

Revision Control. Imported documents, as well as internally authored documents, all benefit from the automated revision control. The document register ensures there is no debate about which documents are current revisions, or have been superseded. This makes it easy to find the current documents, to up rev or send out per transmittal.

Transmittals. Sending out transmittals to partners, vendors, sub-contractors, and clients has never been easier. The system keeps a full audit trail of what went out, when and to who, and what came back. Integrated dashboards allow users to dice and slice to find the information they need. Both from an outgoing transmittal, as well as a per-document perspective.

Microsoft 365. The solution integrates seamlessly with the best Microsoft 365 has to offer. Access is managed through Teams which also provides a platform for communication. The solution allows a user to create a new draft or to export to PDF at the click of a button. Notes are centrally stored per project utilizing OneNote. OneDrive gives users the ability to work on CAD files. Also, it allows access to documents offline in geographically remote areas with poor or no internet.

Business Central | SharePoint Online integration

As part of energySEA’s everyday business, a large number of tender documents need to be managed. In close cooperation with energySEA, hIT 365 Solutions have implemented a solution where for each opportunity created in Business Central, a SharePoint Online document library is automatically provisioned. The opportunity library comes with a predefined folder hierarchy, metadata structure, a numbering feature and the great features SharePoint has to offer.

The Business Central contact list is synchronized with a SharePoint contact list, allowing for easy transmitting of documents from the opportunity libraries in SharePoint Online.

This is another great example of how the built-in integration between Microsoft products can be leveraged to help businesses get the most out of their applications.
